Five Tips for Communicating BYOD Policies
As a growing legion of workers bring their personal devices into the workplace and change their work practices through the use of enterprise mobile apps, IT organizations must keep pace with effectively communicating BYOD policies to employees to ensure productivity while adhering to mobile app security best practices. Unfortunately, many IT organizations are behind the curve. According to a survey of 1,100 security professionals who are members of the LinkedIn Information Security Community, roughly half of organizations either don’t have a BYOD policy in place or haven’t fully implemented a policy. Organizations which lack clear BYOD policies place themselves at greater risk for incurring security breaches. Meanwhile, a separate study of 1,500 global decision-makers conducted by Dell reveals that 64 percent of respondents believe that BYOD will only deliver benefits if the specific needs and rights of each user are clearly understood. We offer five tips for communicating a BYOD policy effectively:
1. Make BYOD policies contextual for employees.
In order for employees to understand and abide by organizational BYOD policies, messaging and communications should be engaging and placed in the context of what matters to employees. For instance, while security threats may be obvious to IT, it should be made clear to employees the harm that can be caused by employees if they should fail to abide by the company’s security procedures. Offering real-world examples is a great way to clarify the objectives.
2. Simplify the Do’s and Don’ts.
Make BYOD policies clear and easy for employees to understand and access. For instance, a simple one-page list of activities they’re each responsible for such as password-protected devices and avoiding the use of unsecured file-sharing apps can help workers understand what to do and what not to do.
3. Incorporate policy messaging into mobile app training.
Communicating BYOD policies shouldn't be a one-and-done exercise. Employees should be regularly reminded as to why BYOD policies are put in place along with any updates they should be made aware of. One effective way to reinforce BYOD policies is by requiring employees to read and agree to company policies before allowing them to download or be trained on the use of enterprise mobile apps.
4. Enlist the help of functional and business leaders.
Having IT serve as the sole communicators of BYOD policies will limit compliance. Companies that solicit functional and business managers will gain by reinforcing the messaging through organizational leaders who can communicate the importance of BYOD policies as it applies to the roles and duties within their area of concern.
5. Make employees active participants.
Some companies provide employees with online forums and other social tools that allow workers to share their BYOD experiences and best practices with one another. It’s a great way to keep employees actively involved with BYOD while helping to raise awareness of BYOD policies.
